AI Meeting Notes: Who Does What After the Call Ends?

You finish a customer call with three things to do: send a revised quote, check a delivery date, and ask for a missing photo. By the next morning, the notes are buried and two colleagues each think the other is replying. AI meeting notes can give you a draft record of the conversation. Someone still needs to confirm the promises and put the work where the team will see it. Try following one meeting all the way to its follow up. The customer says Friday would be ideal for delivery, but nobody confirms it. Before trying AI notes, agree who will check the result and where confirmed tasks belong. Tell participants how the meeting will be captured, follow your organization's recording rules, and decide who should receive the notes. Use a routine internal meeting first if customer conversations contain information you are not ready to share with another service. In Teams, intelligent recap requires eligible Teams access plus Teams Premium or a Microsoft Copilot license, and transcription must be enabled. Microsoft says the meeting must be transcribed in a supported language and last at least five minutes. It also warns that the generated content can be inaccurate or incomplete. An unresolved question: a colleague needs to check stock before anyone promises a delivery date. A customer preference: Friday would suit the customer, but it is not a confirmed commitment. These are the distinctions you want the notes to preserve, not sample results from Teams. If the summary turns Friday into a promise, correct it before sharing. Check the relevant part of the transcript, or ask the person who spoke when the record is unclear. Keep an unknown owner or deadline visibly undecided until someone confirms it. At the end of future meetings, read back the agreed actions with a named person and date. That gives both the people and the note taking tool clearer information to work from. Turn an agreed action into a visible task A task written in a summary still needs somewhere to live. In the furniture example, the stock check should reach the colleague who can do it, with the quote marked as waiting for that answer. Decide which shared task list your team will check each day. Microsoft documents an existing route through Facilitator, its meeting assistant in Teams. Tasks it captures can be accepted into Planner, Microsoft's task management app, using “Accept to sync.” The tasks then appear in Planner. Check the person, due date, and wording. If your team uses another product, ask the supplier to demonstrate that exact connection before paying for it. You can also copy a few reviewed tasks manually while finding out whether the notes are useful. Review the customer email before sending Teams can draft an Outlook email containing the AI summary and follow up tasks. Its sharing instructions tell the sender to edit for accuracy and check recipients before sending. Sharing is subject to meeting access restrictions. It should not announce a Friday delivery. Remove internal discussions about pricing or staffing that the customer does not need. The salesperson must decide what the business is willing to promise. Judge the trial by the work that follows Try this with five routine meetings. Compare the time you normally spend writing follow ups with the time spent reviewing AI notes, correcting mistakes, and creating tasks. Also record missed actions, wrong assignments, and whether customers received accurate replies. Five meetings can reveal problems; they cannot establish a reliable long term savings rate. Keep the tool if the checking takes less effort and the agreed work is easier to track.
